1. What is Personal Data

“Personal data” means data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access. This may include your name, company, designation, email address, telephone or mobile number, business address and the content of your enquiries.

2. Collection of Personal Data

We may collect personal data when you:

• request a quotation, submit an enquiry, or contact us via our website, email, phone, WhatsApp or in person
• engage us for calibration, testing, repair, rental, training or related services
• register for, attend or correspond about our services, updates or events
• otherwise provide your personal data to us for any reason

3. Purposes of Collection, Use and Disclosure

We collect, use and disclose personal data for purposes including:

• responding to your enquiries and providing quotations
• providing, performing and administering our calibration and related services, including issuing certificates
• processing payments, invoicing and maintaining business and accounting records
• communicating with you, including on the status of your instruments and recall/recalibration reminders
• complying with applicable laws, regulations, accreditation requirements and lawful requests by authorities
• measuring the results of our online advertising, including which of our ads in ChatGPT lead to enquiries
• where you have consented, sending you updates, offers or marketing about our services

4. Consent and Withdrawal of Consent

We will obtain your consent before collecting, using or disclosing your personal data, except where permitted or required under the PDPA or other applicable law. You may withdraw your consent for any purpose at any time by contacting our Data Protection Officer (see below). On withdrawal, we will cease the relevant collection, use or disclosure, though this may affect our ability to provide certain services to you, and does not affect processing already carried out.

5. Disclosure of Personal Data

We may disclose personal data to third parties who provide services to us or on our behalf (such as IT, hosting, logistics/courier, payment and professional service providers) and to our related entities, in each case for the purposes above and subject to appropriate safeguards. We may also disclose personal data where required or permitted by law, or to protect our rights and interests. We do not sell your personal data.

We also disclose personal data to OpenAI, the company behind ChatGPT, whose advertising tools we use. When you submit a form on our website after coming to it from one of our ads in ChatGPT (or returning within 30 days of doing so), we share your email address and phone number in hashed form, your IP address and your browser's user agent with OpenAI, together with the other details set out in section 11 (Cookies), so that we can measure which of our ads in ChatGPT lead to enquiries.

6. Access and Correction

You may request access to the personal data we hold about you and information about how it has been used or disclosed, and you may request correction of any error or omission. We may charge a reasonable fee for an access request and will inform you in advance. Please submit requests to our Data Protection Officer.

7. Accuracy

We will make reasonable efforts to ensure that personal data we collect is accurate and complete. Please notify us of any changes to your personal data so that our records remain current.

8. Protection of Personal Data

We implement reasonable administrative, physical and technical measures to protect personal data in our possession or control against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required for legal, regulatory, accreditation, tax or accounting purposes. When personal data is no longer required, we will take reasonable steps to securely dispose of or anonymise it.

10. Transfer of Personal Data Outside Singapore

If we transfer personal data outside Singapore, we will take steps to ensure that the receiving party provides a standard of protection comparable to that under the PDPA, in accordance with the PDPA's transfer limitation requirements.

This includes personal data sent to OpenAI for advertising measurement (see section 11). OpenAI is a company based in the United States and may process this data in the United States and in other countries outside Singapore. Our use of OpenAI's advertising and measurement tools is subject to OpenAI's terms for those tools, which include its Ad Tools Data Processing Addendum.

11. Cookies

Our website may use cookies and similar technologies to operate the site and understand how it is used. You can manage or disable cookies through your browser settings, although some features of the site may not function as intended.

Advertising and measurement

We advertise in ChatGPT, OpenAI's AI assistant. To measure which of our ChatGPT ads lead to enquiries, our website loads a measurement pixel (a small piece of code) from OpenAI, but only for a visit that starts from one of our ads in ChatGPT (the address of the page you land on carries an ad click identifier), or while your browser still holds the __oppref cookie described below from such a visit. Only then does your browser contact OpenAI's servers; for any other visitor nothing is loaded from OpenAI. When you submit a form after such a visit, the pixel tells OpenAI that a form was submitted, with a reference number for it, the time and the address of our website. OpenAI's pixel may also detect contact details on our website, such as an email address or phone number that you type into a form, and send them to OpenAI in hashed form from your browser, in addition to what our own server reports as described below.

For such visits only, the pixel uses two cookies on our website. The cookie __obref is a randomly generated browser reference, which OpenAI's pixel keeps for 365 days after it is created. The cookie __oppref holds the identifier of an ad click when your visit starts from one of our ads in ChatGPT, and is kept for 30 days after the pixel writes it.

On a visit that starts from one of our ChatGPT ads, our own website also sets a cookie, __adsrc, kept for 30 days, recording the name of the ad campaign, which ad you clicked and the page you first landed on. If you then submit a form, we save this with your enquiry and show it in the notification our sales team receives, so that we know which ad brought you to us. We do not send it to OpenAI.

When you submit a form on our website (for example a quote request or an enquiry), our website's server also sends OpenAI a note that the form was submitted, with a reference number, the address of our website, your IP address, your browser's user agent (details of your browser and device), the values of the __obref and __oppref cookies if they are present, and your email address and phone number in hashed form. This happens only if you came to our website from one of our ads in ChatGPT, or returned to it within 30 days of doing so using the same browser. Hashing turns your email address and phone number into a fixed code (using SHA-256) before they are sent, so OpenAI does not receive them as readable text. The same email address always produces the same code, so the code can still be matched to a person, and we treat it as personal data.

OpenAI uses this information to give us reports on how our ads perform. OpenAI's terms also allow it to use it to improve, optimise, measure and deliver its services. OpenAI's Ad Tools Data Processing Addendum describes OpenAI as acting as an independent data controller for this data, and OpenAI explains how it handles personal data in its own privacy policy.

You can block or delete these cookies in your browser settings. Without the __oppref cookie, our website does not report a form you submit to OpenAI. If you have questions, or wish to withdraw your consent to our use of your personal data for advertising measurement, please contact us at sales@unitestinst.com or +65 6659 8878. If you withdraw your consent, we will stop reporting your enquiries to OpenAI; this does not remove information OpenAI already holds. If you arrive from one of our ChatGPT ads again, your browser will still load OpenAI's pixel and it will still set its cookies, unless you block them. What stops is our own reporting of your enquiry to OpenAI; while OpenAI's pixel is loaded it may still detect and send contact details you type into a form, which we cannot switch off. We will respond in line with our obligations under the PDPA.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will be posted on this page with effect from the date of posting. Your continued use of our website and services after any update constitutes acceptance of the revised Policy.
